Terms & Conditions – Important Information Before Your Journey with Happy Family Motorhome Hire!
Welcome to Happy Family Motorhome Hire! We want your adventure with our Ford Voyager Motorhome to be unforgettable and completely hassle-free. Below are the most important rules and tips to help you enjoy your trip. A full and comprehensive rental agreement, containing all clauses and legal provisions is avaliable for review during the booking process and will be provided for your signature on the day of collection. Please review this document and sign it on the day of motorhome collection.
1. Booking & Payments
Book Online: All reservations are made online at: www.happyfamilymotorhomehire.co.uk.
Minimum Rental Period: Our motorhome is available for a minimum rental of 5 full days.
Booking Deposit: A non-refundable booking deposit of 20% of the total rental price is required to secure your reservation. This deposit is non-refundable in case of cancellation.
Security Deposit: A refundable security deposit of £1000 is payable before motorhome collection. This amount covers potential damages, insurance excess, cleaning costs, and other fees. The pre-authorisation will be released within *7 working days* from the date of motorhome return, after a detailed inspection.
Cancellation Policy: In the event of cancellation, the booking deposit is non-refundable. Detailed cancellation fees based on the time of cancellation are outlined in the full rental agreement.
2. Driver Requirements
Age & License: Drivers must be at least 23 and no more than 75 years old and hold a valid category "B" driving licence for a minimum of 2 years.
Driving History: All drivers must meet the following insurance criteria:
* Have not been at fault for more than one claim (fault incident) in the last 3 years.
* Do not have more than two convictions with a maximum of 3 penalty points per conviction.
* Have not had a conviction with codes such as BA (Driving while disqualified), DD (Dangerous Driving), or UT (Uninsured Use).
DVLA Share Code: We require your DVLA Share Code to check your driving record. To speed up collection, please provide this code in advance. The code is valid for 21 days.
Proof of Address: Please provide two proofs of address (e.g., a utility bill, bank statement) issued within the last 3 months.
Driver Declaration Form: All drivers must complete and sign a "Drivers Declaration Form.
Important! All Paperwork Required: Failure to provide all required documents and meet our insurance criteria on collection day will result in the *immediate cancellation of your rental and the forfeiture of your booking deposit.
3. What to Bring for Collection Day
To ensure a smooth handover, please make sure you bring:
* Your original, valid driving licence (for each driver).
* Your DVLA Share Code (if not provided in advance).
* Two current proofs of address (e.g., utility bills, bank statements from the last 3 months).
* The credit/debit card used for the security deposit.
4. Insurance
Your Responsibility: You are responsible for any damages not covered by insurance or exceeding the excess amount. You are also liable for any loss or damage to your personal belongings.
Full Liability: The renter bears full financial responsibility for all damages if they are caused by gross negligence, intentional actions, misuse of the motorhome (e.g., driving on unpaved roads, under the influence of alcohol or drugs), or for using incorrect fuel.
5. Collecting & Returning Your Motorhome
Collection Hours: You can collect your motorhome from 2:00 PM on the first day of your rental.
Return Hours: The motorhome must be returned by 10:00 AM on the final day of your rental.
Late Return: Please be aware that if the motorhome is returned late without prior written agreement, you will be charged an additional fee of £50 for every hour of delay.
Location: Collection and return take place at: 89 Hillview drive, Blantyre G72 9EE.
6. Motorhome Condition
Cleaning & Rules Daily Vehicle Checks: The renter is responsible for conducting daily checks of the motorhome (e.g., oil and water levels, tyre pressure). Any issues found must be reported immediately.
Fair Wear and Tear vs. Damage: Normal, minor wear (e.g., small, superficial scratches under 25mm in diameter) is considered Fair Wear and Tear. However, any damage larger than a £1 coin, deep scratches, damage to mirrors, lights, windows, or the interior is considered Damage. The renter is liable for the full cost of repairing any Damage.
No Smoking & No Pets: Smoking is strictly prohibited inside the motorhome. Transporting pets is not allowed.
Cleanliness: The motorhome must be returned in a general clean and tidy condition.
Tank Emptying: The grey water and chemical toilet tanks must be emptied before return.
Fuel & Gas: The motorhome must be returned with a full fuel tank and same level of gas.
Hassle-Free Return Option: For an additional fee of £200, you can choose this option, which exempts you from the obligation to refuel the tank and empty the chemical toilet tanks.
Misfuelling: The renter is fully responsible for all costs and damages incurred as a result of using the incorrect type of fuel.
7. Road Incidents & Breakdowns
Reporting Procedure: Any damage, accident, or breakdown must be reported to Happy Family Motorhome Hire by phone *immediately* (within 1 hour).
In case of an accident: You must secure the site, call the police if required, collect details of witnesses and other parties, and take detailed photographic documentation of the damage and the scene.
Renter's Liability: The renter is responsible for all costs incurred due to their negligence, including running out of fuel or driving on a flat tire. Failure to follow this procedure may result in the renter being fully liable for the damage.
8. Geographic & Legal Restrictions
Geographic Restrictions: The motorhome may only be driven within the United Kingdom.
Roads: Driving on unpaved roads or off-road is strictly forbidden.
Fines & Tolls: The renter is responsible for all road tolls, parking fees, congestion charges, and fines incurred during the rental period. An administration fee may be applied for processing these charges.
